Priya Raman, Reading

Using the Toolkit to turn a scruffy, informal service into a company clients trust with keys.

Priya had good clients and terrible paperwork. Consistent documents changed how people treated her business.

Where I started

My cleaning was never the issue. My admin was embarrassing. Quotes went out as WhatsApp messages. My terms were a paragraph I had copied from somewhere and never read properly. Invoices were a note in my phone.

It worked well enough with domestic clients who knew me. It fell apart the moment I tried anything bigger.

The moment it mattered

A local dental practice asked for a quote. They wanted a specification, proof of insurance, a copy of our terms and a data protection statement. I had one of those four.

I spent two evenings trying to write the rest myself and produced something that looked exactly like what it was, which was a cleaner pretending to be a company.

What changed

The Toolkit questionnaire took me about twenty minutes, a bit longer than advertised because I kept stopping to actually decide things. What my cancellation window is. Whether I hold keys. What happens if something gets damaged.

That was the real value. It was not the documents, it was being made to answer questions I had been avoiding for three years.

What it looks like now

Every client gets the same welcome pack, the same terms and the same quote format, all with my business name on them. New clients get a proper onboarding rather than a text saying see you Tuesday.

I did win the dental practice, on the second attempt, six months later. They said the paperwork was the reason they were willing to try us.

The unexpected part

Complaints got easier. When something goes wrong I have a policy to point at rather than an argument to have. Nobody has ever disputed a term they signed at the start.

Priya Raman's advice for other cleaning entrepreneurs

  • Clients are not judging your cleaning at the quote stage. They are judging your paperwork.
  • Answer the awkward policy questions before a client forces you to.
  • Use the same documents every time. Consistency is what looks professional.
